Established and award winning design and brand studio in London have an opportunity within their team for an operations and people co-ordinator, to support the overall function of the studio, working with the workplace manager. A multi-faceted role, you will become the office lynchpin and go-to person.

Responsibilities will include:

Operations:

  • Front-of-House support:  meeting and greeting clients and setting up meeting rooms
  • Building and facilities support: assisting the workplace manager as required
  • Book meeting rooms, arrange couriers, manage stationery and food orders, and handle incoming calls
  • Manage The Directors’ timesheets weekly
  • Supporting and assisting the directors as required
  • Supporting company-wide events

People management:

  • Management of internal HR systems
  • Assist employees with holiday amendments, provide support in PeopleHR and oversee absence tracking (holidays, sickness, training days
  • Facilitate holiday requests and ensure accurate record-keeping
  • Coordinate new employee onboarding
  • Coordinate leavers’ procedures
  • Assist in the administration of company-wide career development reviews
  • Support recruitment efforts: Post job adverts,,manage CVs, liaise with hiring managers, schedule interviews, and maintain communication with recruitment agencies.
  • Manage intern/work experience requests and maintain relationships with potential interns

Experience and requirements

  • Strong organisational skills with the ability to manage multiple tasks and prioritise effectively.
  • Excellent communication skills, both written and verbal
  • Proficiency in MS Office Suite and experience with HRIS (Human Resources Information Systems) is a plus.
  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
  • Prior experience in an administrative role is preferred.

In this role you will be responsible for the organisation, logistics, administration, and smooth running of the companies ECD’s day to day. This is an admin heavy role that would suit someone who has at least 4+ years proven exp within the Advertising /Creative industry.  It requires someone who is super confident in juggling multiple diaries and has excellent attention to detail. Someone who is pro-active, takes initiative and is reliable. Tech savvy with excellent communication skills and the ability to build relationships easily, liaising at all levels are a must. There will also be opportunities to get involved in special projects, organise department socials, assist with award entries etc in time. You will also need to step in and support the other PA’s with Holiday cover when resource is needed.

Typical responsibilities

  • Have a strong understanding of the clients and projects your ECD’s are working on to help plan their time efficiently, regular/daily catch ups to discuss ever changing plans across the week are essential
  • Providing dedicated support across multiple complex diaries, monitoring and dealing with calendar clashes so they don’t have to
  • Ensuring all meetings are set up accordingly eg: including zoom links, tracking all attendees, meeting rooms booked, catering and AV set up’s are pre booked etc.
  • Acting as reliable gatekeeper, relaying messages and ensuring colleagues can come to you for assistance as opposed to going direct to the ECD’s
  • Compiling and submitting expenses and timesheets regularly to avoid backlog for each ECD
  • Booking business travel and putting together at times extensive itineraries – UK and International
  • Occasionally creating presentations for internal and external use so a good understanding of Google docs and Keynote is essential
  • Organisation of Creative dept gatherings, socials and assisting on special projects
  • Driving a positive, healthy and social culture within the dept and wider agency
  • Tech savvy when it comes to Mac & Outlook calendars, google cals, google docs, zoom, keynote, powerpoint etc
